Conversion Ecosystem is built on GoHighLevel, a US-based CRM and marketing automation platform. When we manage your marketing system:

  • Lead and contact data collected through your funnels is stored within GoHighLevel
  • Automated SMS, email, and follow-up sequences are sent through GoHighLevel infrastructure
  • Appointment booking data is recorded within the platform

GoHighLevel operates under its own Privacy Policy, available at https://www.gohighlevel.com/privacy-policy. As your service provider, we are responsible for how GoHighLevel handles data on your behalf and will take reasonable steps to ensure appropriate protections are in place.

9. Security of Your Personal Information

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification, or disclosure (APP 11).

Our security measures include:

  • Encrypted data transmission using SSL/TLS
  • Access controls limiting who within our team can access personal information
  • Use of reputable third-party platforms with their own security certifications
  • Regular review of our data handling practices

While we take these steps seriously, no method of data transmission or storage is completely secure. If you have concerns about a security incident, please contact us immediately.

10. Data Retention

We retain personal information only for as long as is necessary for the purposes described in this policy, or as required by law.

  • Client account data is retained for the duration of our engagement and for up to 7 years following termination, in line with standard Australian tax and business record-keeping requirements
  • Lead and enquiry data is retained for up to 2 years unless you request earlier deletion
  • Website analytics data is retained as per the policies of the relevant analytics provider

When personal information is no longer required, we will take reasonable steps to destroy or de-identify it.

11. Your Privacy Rights

Under the Privacy Act 1988 (Cth) and the 2024 amendments, you have the following rights:

Right to access

You may request access to the personal information we hold about you. We will respond to access requests within 30 days. In some circumstances, we may charge a reasonable fee to cover the cost of providing access.

Right to correction

If you believe that personal information we hold about you is inaccurate, out of date, incomplete, irrelevant, or misleading, you may ask us to correct it. We will take reasonable steps to correct the information within 30 days.

Right to complain

If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us first. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

Right to make a complaint under the statutory tort

  • Notify affected individuals where required
